HKN POD Information
Daily Operation:
- During the fall and spring semesters, the lounge will be open from 7:30
am until 5:00 pm.
- The first Person On Duty (POD) should arrive by 7:00 am to get
the lounge ready to open by 7:30.
- All other PODs should arrive 10 minutes early for their POD duty. This
results in two or more people in the lounge working during the "rush" time
between classes, and allows the previous POD to leave and get to their next
class on time.
All PODs:
All PODs have specific duties associated with their particular POD time slot,
as well as general duties that ALL PODs share in order to keep the lounge
running in a neat and orderly fashion. These duties are delineated below:
- The main function of all PODs is to receive money and make change for all
customers. All $20 bills
should go in the safe immediately. There is a slot on the top; drop the money
in and rotate the knob, allowing the money to fall from the top chamber into
the safe. If there are excess $1 bills, they may also be put into the safe: count
out $50 and rubber band or paperclip them together before putting them in.
- HKN POS system. Every time you sell an item in the lounge,
it must be scanned into the point of sale system. If the scanner is not
working for a particular item (or at all), the bar code may be manually entered
into the system by typing into the barcode box, and hitting enter. Sales are completed
by scanning the "Complete Sale" barcode, or by clicking the "Complete Sale" button
on the screen. If there are problems with the POS, use the email box on the Work Pod
page to email the web chair.
- Do not accept IOUs!! Even if it is the Head of the Department, the Dean
of Engineering, or the President of Purdue.
- If you run out of change, email the current HKN treasurer or president. You can use
the form on the POS system for this, and their phone numbers are listed inside the cashbox.
If they are unavailable, the bursar (room 3 in Hovde Hall)
can make change.
- RESTOCK!!! During slow portions of your shift, please restock the
refrigerators and snack shelves. It only takes 5 minutes, and you will still
have plenty of time to read the paper and play on the computer.
- Coffee. Make more coffee when it runs low. The amount of coffee
remaining in the machine is indicated in the vertical glass tube on the front
of the machine. If there is less than 1/2 inch of coffee visible, IT IS TIME
TO MAKE MORE! This also includes the case when there is NO coffee visible.
DO NOT make any more coffee until there is less than 1/2 inch of
coffee visible, or it may overflow the indicator tube! Also, DO NOT make any
additional coffee after 3:30!!!. Most of it will wind up being wasted at
closing time. People can still purchase instant coffee in the late afternoon
if the coffee machine is empty. Instructions for making coffee are on the
cabinet next to the coffee machine.
- Pick up trash in the outer lounge. Remove excess debris from the tables.
- When the glass, plastic, and/or aluminum recycling containers are full,
change the bags. Place the full bags in the back of the inner lounge. Put new
garbage bags in the recycling containers (use two bags for the glass
containers).
- Computer. Make sure you log into the POS system, or else you will
not be able to log sales in the system.
7:00 AM POD:
- Arrive by 7:00 am so you can have the lounge ready to open by 7:30 am.
- Make Coffee. First, empty out all the water in the coffee chamber.
Then, follow the directions on the cabinet next to the machine, and make a
full batch of coffee. Make sure there are cups, lids, and stirrers out on the
counter.
- Donuts. Retrieve the donuts from the outer lounge. There should be
9 dozen donuts and 3 dozen cinnamon rolls, marked "HKN" or "Eta". Please count
the number received, and place the invoice (usually taped on top) in the metal
drawer under the coffee machine. Place the donuts out on the shelving units
constructed for them.
- Bagels. One or both of the 7:00 am PODs should pick up the bagels
from Einstein Bros (on Northwestern near Chauncey Hill) on their way to the lounge
in the morning. Empty the bags of bagels into the large Tupperware containers
place them on the counter. Please count the number of bagels actually received. There
should be 8 dozen. Make a note on the donut receipt if there are any
discrepencies. Make sure plastic knives and napkins are set out. Any recepts or
invoices should also go in the drawer under the coffee maker.
- Unlock all the cabinets and coolers. Scramble the lock combinations and
place the locks and chains in the empty place container. Place the container
in the file cabinet under the POD desk.
- Put out all the extra coffee products and condiments. These are in one
of the cabinets below the coffee machine. Also put out the chewing gum container
on the POD desk.
- Go to the EE loading dock and pick up the Exponent. Sometimes they have
already been picked up and placed in the paper stand near the basement door
to EE 129. Grab an armfull of papers and place them in the the outer lounge.
- Open the HKN Lab. Turn on the lab monitor in the inner lounge on top
of the coffee cabinet.
- Turn on the radio if you desire.
- Computer. Log onto the computer using your HKN login.
- Get the money box out from the wooden box under the POD desk, and place
it on the POD desk.
- Open the doors to the outer lounge and inner lounge.
8:30 AM POD:
- Clean up the lounge. Especially the donut/bagel and coffee areas.
- RESTOCK!!! Check the coolers, bagels, and candy. Also make sure the coffee is
always full and flowing (preferably into cups).
- Place excess money in the safe.
- Do anything the 7:00 am POD forgot to do.
9:30 AM POD:
- Place excess money in the safe.
- STOCK EVERYTHING!!! By now, you're probably low on orange juice.
10:30 AM POD:
- Wipe off the tables in the outer lounge, and clean the counters in
the inner lounge.
- Place excess money in the safe.
- STOCK BEFORE YOU READ THE PAPER!!!
11:30 AM POD:
- Check the paper in the laser printer and the copier.
- Wipe off the counters.
- Make sure the coffee is full. The lunch rush starts with this POD.
- Place excess money in the safe.
- Why be different? STOCK SOME MORE!!!
12:30 PM POD:
- Place excess money in the safe.
- Monday: Dust wooden counter tops.
- Tuesday: Sort pretzels, chips, and brownies by date. Put earliest on top.
- Wednesday: Water the plants.
- Thursday: Sort pretzels, chips, and brownies by date. Put earliest on top.
- Friday: Dust wooden counter tops.
1:30 PM POD:
- Place any empty donut boxes in the cart after crushing them down.
- Place excess money in the safe.
- IT'S TIME TO STOCK AGAIN!!!
2:30 PM POD:
- Clean the microwave oven, toaster oven, and bagel containers.
- Place exess money in the safe.
- Fully restock the upright cooler. This makes life much easier for all PODs
after this one, as well as the following 7:30 POD. Besides, there isn't much going on during
this time slot.
3:30 PM POD:
- Take all empty cardboard boxes out to the dumpster.
- Place excess money in the safe.
- PLEASE STOCK!!! After you, there is a 4:30 pm POD and then a 7:30 am
POD, and they are both busy enough already.
4:30 PM POD:
- Donuts and Bagels. If there are any donuts and/or bagels and/or
cinnamon rolls remaining, count them and waste them using the POS system.
Throw out/give away/take home any remaining donuts/bagels/cinnamon rolls.
- Wipe off the counter tops.
- Rinse out the plastic bagel containers.
- The Coffee Machine.
- Using the coffee pot by the sink (or a styrofoam cup), empty all of the
coffee from the machine and pour it down the sink (or drink it). Mark down
the amount of waste using the POS system
- Take the brown plastic containers out of the top of the machine. Throw
away the old coffee grinds and filter. Rinse out all the brown plastic parts
and the metal water strainer with soap and water.
- Set the water selector to HALF, and refill the coffee chamber with
just water. DO NOT allow the coffee machine to sit overnight
without water in the coffee chamber. Do the same for the carafes.
- DO NOT ever turn off the coffee machines. If there are
questions, contact hknlab@ecn.purdue.edu. Gremlins will eat you!!!
- Tuesday and Thursday PODs. It is your job to clean the coffee
machine. The directions are posted on the cabinet above the sink.
- The Money Box. Put excess money in the safe. Close the money box,
and place it in the wooden box under the POD desk. Lock the wooden box with the
padlock.
- Put away all coffee products, condiments, and chewing gum. This includes
creamer, sugar, coffe packages, hot chocolate, tea, etc. Put them in the
cabinet below the coffee counter.
- Brown Cooler. Find the long metal bar with the hinge in the
middle. Place the pegs on each end INTO the holes on the inside edges of the
cooler. Align the hole in the bar with the hole in the metal brace in the
middle of the cooler. Use the long gold combination lock to lock the cooler.
- Coke Cooler. The stand up Coke cooler should be locked with the
regular size combination locks.
- Wooden Cabinets. (3 below the counter and 2 above the sink). Run
the small chains through the cabinet handles, and secure them with the regular
size combination locks. Make sure the chains are tight, and do not dangle
freely, or someone could easily reach their hand into the cabinets.
- Sweep the floor of the inner lounge.
- Vacuum the carpet in the outer lounge. Throw away any trash left behind,
and put all remaining newspapers in the recycling bins.
- Remove all trash bags, tie them up, and put them in the hallway just
outside the lounge door. The janitors will take them away over night. Put new
trash bags in all of the cans.
- Computer. Remember to log yourself, and anyone else, out of the POS
program.
- Turn off the TV in the outer lounge, the LAB monitor on top of the
coffee cabinet, the radio, and the lights.
- Kick everyone out. Shut the door to the inner lounge, and shut the door
to the outer lounge. Check to make sure both are locked.
- Shut the door to the HKN Lab, which is around the corner from the
lounge door. Check to make sure it is locked.
